Every successful training project starts with one simple step: a conversation.

At MadXR, our Discovery Call is the foundation of every partnership. It’s where ideas start to take shape, goals get clarified, and we learn about your organization’s needs, audience, and vision for immersive learning.

This post is Part One of our “What to Expect When You Work With MadXR” series. In this series, we’ll walk you through every stage of the process—from your very first call with our team to the delivery of your final immersive training experience.

So, what actually happens during a Discovery Call? Let’s take a closer look.

1. Setting the Stage

Your Discovery Call is where we get to know your team, your goals, and what success looks like for you before we jump into development.

The call usually lasts 30 minutes and gives you a clear overview of what to expect when you start working with us. During this first meeting, we will:

  • Learn about your organization and the training challenges you want to solve

  • Clarify what success looks like for your team and define measurable goals

  • Identify which training modalities (VR, AR, or web-based) best fit your needs

  • Discuss realistic timelines, budgets, and deployment options

  • Introduce you to our process and next steps after the call

Think of it as the start of a creative partnership, not a sales pitch.

From there, we move into deeper discussions that help us shape your project — from defining objectives and audiences to mapping out technical requirements and delivery platforms.

2. Preparing for Your Call

If you’re considering scheduling a Discovery Call, here are a few quick tips to make the most of it:

  • Gather any existing training materials or documentation

  • Think about the biggest challenges you want this training to solve

  • Be ready to share your timeline, budget expectations, and preferred platforms

  • Bring anyone from your team who will be part of the decision-making process

These small steps help ensure your Discovery Call is productive, efficient, and focused on creating the best learning solution for your organization.

3. The Questions That Shape Your Project

We guide the conversation using a structured set of questions to uncover your training needs. Here are a few examples of what we explore during the call:

Objectives and Goals

  • What are the primary objectives you want to achieve with this training?

  • What specific skills or knowledge should participants gain?

Target Audience

  • Who will be the primary users, such as new hires, existing employees, or leadership?

  • What is their current experience level with the subject?

  • Where will the training take place, whether in-office, remote, or in the field?

Content and Environment

  • What content do you already have, such as videos, manuals, or PowerPoint slides?

  • Do you have 3D assets, CAD models, or scans that can help us recreate your environment?

  • Are there safety or environmental considerations we should account for?

Learning Outcomes

  • What measurable outcomes define success for you?

  • How will you know the training worked?

Technical and Logistical Details

  • Which platforms do you plan to use, such as Pico, Meta, desktop, or mobile?

  • What level of interactivity are you looking for, such as hands-on simulations, quizzes, or guided tours?

  • Do you need characters or NPCs in the experience?

Customization, Budget, and Timeline

  • Do you have specific branding or customization requirements?

  • What is your budget range and desired timeline?

  • Are there key deadlines or milestones we should plan around?

Post-Launch and Support

  • Will you need ongoing updates or support after deployment?

  • Have you used immersive training before? If so, what worked and what didn’t?

These questions help our team get a complete picture of your project so we can design a training solution that’s accurate, engaging, and measurable.

4. Why the Discovery Call Matters

Every company has its own culture, terminology, and way of communicating.

During the Discovery Call, we listen closely to how you talk about your work so we can match that language in your final training product.

This helps us design experiences that feel natural and familiar to your learners, whether that means using industry-specific vocabulary, your internal branding, or your company’s tone of voice.

The more details you share, the more customized and effective your training will be.

5. What Happens Next

After the Discovery Call, we compile everything we’ve learned into a Project Brief.

This document includes:

  • A summary of your goals and audience

  • Recommended modalities such as VR, AR, or web-based

  • A proposed scope and timeline

  • Notes on technical needs, assets, and learning objectives

Once you review and approve it, we move into the Planning Phase, where we begin storyboarding and scheduling your project.
